Managing Employee Punches
Missed punches are caused when an employee clocks In but then never clocks Out, or vice versa. This can also be caused if your employer uses Breaks or Meal functionality and employees are required to clock in and out of either and only performs one of the actions.
Alerts / Notifications
When an alert occurs on a timecard for an employee that you manage, you will receive a notification in your portal.
Clicking on the Bell notification or the "View" link under notifications will take you to the notifications screen. In this case, the notification is a Missing Punch for your employee, "Lindsey Atwater". Clicking "Go To Tasks" will take you back to your tasks main page.
To view the timecard and enter missing punches, you would click "View and Approve Time Cards". Notice the pink Alert Triangle icon, this is signifying the employee has 1 or more alerts.
Clicking on the employee name will take you to that particular employee timecard. You can also sort by any of the columns in this view. You will see all of the details for this employee's timecard for the selected time frame. Clicking the pink > arrow on a given day will expand that day and show the details, the In and Out times, any notes, etc.
Adding the Missing Punch
Adding the Missing Punch (or any punch or adjustment) is done by clicking "Create New" from the employee timecard view.
For this instance, we know the employee clocked in at 5AM, but never clocked out. We need to enter an OUT punch on that same day.
Depending on your permissions and employer options, you may see some or all of the these options under record type:
- Hours - start AND end time, so you are entering both sides of the time punch record.
- Punch - you are entering ONLY 1 of either start or end time.
- Absence - if available, you are entering and absence policy request (time off, sick, etc.).
Selecting the date, time, type and mode on the following screen will get you the details of the punch. You can also include notes for a record of why this was added or entered.
If you choose "Auto" for the mode dropdown, the system will try to pair it with another punch (In, Out, etc.) and make a match. If you already know what it needs to be, you can simply choose the option needed (out in this case).
Choosing the "Save" button and the alert on the time card is now fixed.
